Medicor’s Procedure for COVID-19 management

Consider Universal Precautions during the COVID-19 high alert. All people; patients, staff and public, are to be treated as having potential to be a vector of the COVID-19 virus. Our utmost consideration is for the safety of all people. We also have several research subjects and some staff who are particularly vulnerable, whether on immune-suppressing agents, pregnancy, chemotherapy, etc...  Diligence in maintaining precautions against the virus is paramount as the outcome of a workplace outbreak could be devastating.

The following procedure has been created integrating recommendations from the WHO on “Getting Your Workplace Ready for COVID-19”, 27 February 2020, Version 1.4.

 

Ensuring continuity of workflow

  • Staggered work schedules. This is to ensure not all staff are in the research office at the same time in case of unexpected exposure to an infected person or an asymptomatic positive infection. In this case staff working in the same area of the research office with the potential vector will self-quarantine for 14 days before returning to the workplace. Please note we have 5 CRCs and 2 research nurses that are all cross-trained on all studies.
  • Staggered work schedules. This is also to minimize the number of staff in the research office at one time for ease of 6.5 feet of social distancing.
  • All staff to bring home laptops each night in case of a work place related quarantine; they will be able to work remotely from our secure server.

 

Subject in-person visits

Note: Subject recruitment has been put on hold until further notification from the sponsor. Any protocol visits not requiring safety assessments will be conducted by phone - as per sponsor instructions.

  • Subjects will be screened over the phone for COVID-19 symptoms prior to attending their visit. They will be rescheduled for as soon as possible once cleared as negative to the virus.
  • Since the main entrance to the research site will remained locked the subject will phone or text the CRC from their vehicle upon arrival. The CRC will notify them when they may enter the building.
  • All subjects will be instructed to wear a mask and gloves provided by the site which they will pick up in the entrance to the building before entering the waiting room and not remove until after they have exited the building.
  • Subject visits will be entirely conducted in the designated exam room (including lab procedures)
  • If the subject is required to provide a urine sample the subject washroom will be disinfected after use.
  • Only 1 employee will be designated to be in direct contact with subjects for mandatory procedures, EG: blood draw, IP injections, etc.
  • The employee in direct contact with subject will be in full PPE.
  • The CRC conducting the protocol visit will do so at the standing desk at 6.5 feet from the subject, they will also wear a mask for as an added precaution.
  • If Facetime, Zoom, Skype, etc.. is required for an assessment with a physician virtually, the person in full PPE will hold the device and disinfect it after use
  • The subject’s exit path will be disinfected immediately after exiting the building
  • Subjects will be instructed to dispose of their mask and gloves in their home garbage

 

Measures to maintain 6.5 feet social distancing in the workplace

  • Use the service entrance only
  • Protocol when entering, open the door to make sure there's no one in the vestibule, if someone is there then wait for them to leave before entering
  • Coats kept at workstations, not in the shared closet
  • Minimum time spent in lunchroom, encouraged to eat in car, if you do eat in the lunchroom you are encouraged to disinfect area before and must disinfect after
  • All doors within the building should be left open so touching door handles can be avoided- lunchroom, side entrance, lab, etc...
  • No boxes or anything in the hallway (so that people can maintain a distance when they encounter each other)
  • 1 person in a room at a time (wet lab, dry lab, chart room, lunch room etc.) do not enter each other’s workspace or office instead email or call
  • Administrative Research Assistant to work out of an office instead of at reception; reception email to be added to her laptop for the time being, no one should be working/lingering in reception area.
  • No more signing in/out log at reception

 

Disinfecting protocol

 

Kitchen

Use hand sanitizer each time you exit your work station

Always begin with hand washing. Use paper towel to dry hands – not a dish cloth.

Before you exit disinfect:

  • Taps
  • Dish soap bottle
  • Fridge handles
  • Kitchen table
  • Light switch

 

Bathroom

Use hand sanitizer each time you exit your work station

When you are finished please disinfect:

  • Paper towel dispenser
  • Taps
  • Hand soap bottle
  • Toilet seat and cover
  • Toilet flush handle
  • Door handle – interior and exterior
  • Light switch

 

Courier Entrance

Use hand sanitizer each time you exit your work station

After using this door please disinfect:

  • Metal shelve – if used
  • Door handles – interior and exterior
  • Alarm key pad – if used
  • If receiving a package ensure you wash your hands after handling

 

Reception

Use hand sanitizer each time you exit your work station

Disinfect the reception phone after every use

At the end of your shift disinfect:

  • Reception desk top
  • Office equipment used, EG: stapler, tape dispenser, etc
  • copier
  • phone
  • cupboard and drawer handles
  • Chart room door handles
  • Light switches that aren’t on motion sensor

 

Dry Lab

Use hand sanitizer each time you exit your work station

Disinfect the lab phone after every use

At the end of your shift disinfect:

  • Work station desk top
  • Fridge handle
  • Freezer tops and exterior opening
  • Office equipment used, EG: stapler, tape dispenser, etc.
  • phone
  • cupboard and drawer handles
  • Light switch

 

Wet Lab

**No change to disinfecting protocol

 

Essential stock item to have on hand at all times

  • Kleenex at everyone's workstation – labeled with employee name
  • Hand sanitizer at everyone's workstation – labeled with employee name
  • Disinfectant spray bottle at everyone’s workstation– labeled with employee name
  • Paper towels at everyone’s workstation
  • Gloves
  • Masks
  • Gowns
  • Germicide 3 stock bottle to refill disinfectant spray bottles

Additional guidance

  • Please don’t use Caviwipes on metal as they will degrade the metal and cause rusting
  • Use your own name-labeled disinfectant supplies to minimize cross-contamination
  • When using Germicide 3, spray it on a paper towel first and not directly on anything electronic or electrical
  • Always disinfect in real-time
  • If you have been in a public place such as Praxair, grocery store, etc, I encourage you to change your clothes and launder them when you get home.
